Microsoft Dynamics Gp: Frx Reporting Implementation Trivia
FRx is recommended Financial reporting for Dynamics GP and its predecessor Great Plains Dynamics and eEnteprise and you typically chose FRx for Balance Sheet, Profit and Loss Statement, Statement of Cash Flow and consolidated versions of these report. FRx also supports native Dynamics GP multicurrency (you will need either FRx Professional license or FRx currency access module):
1. FRx building blocks: Row Format, Column Layout and Reporting Tree. Row Format allows you to create the row in the final report (or Catalog in FRx terminology), here you link to the individual account or accounts set; the link could be through account mask on full account number or just by Natural segment (which correspond to main segment in GP chart of accounts). If you are planning to combine Dynamics GP company with something exported from Small Business ERP application (SAP Business One, QuickBooks, MYOB, PeachTree) into Excel – you can link to Excel cells in the Row Format. Column Layout – here you define columns for your report – for example the same combination of Balance Sheet Row Format could produce current balance with just one column or twelve months balance in the form of table (if in Column layout you define 12 columns for each month of the year). Reporting Tree – if you have subdivision, designed into your account format (say first segment shows the number of the subdivision) or you have several companies and would like to consolidate them into one Balance Sheet or P&L report – you can do it in reporting tree (and then you can analyze your report for the whole company or by specific branch)
2. FRx Installation. If you are installing it for the first workstation, please consider placing Sysdata folder (FRx metadata) to the server – you will be asked during installation. If you are installing workstations for new users – you should consider three steps. First – Install FRx from installation CD (currently FRx 6.7); second – apply recent service pack (for 6.7, assuming that you are installing FRx for Dynamics GP 10.0 SP 11 is current, however you have to apply SP9 prior and only after go to 11); and the third – change Sysdata to the location on the server (open FRx as sa user, Admin->Organization, click on Sysdata button and change its location accordingly). Please, note here that FRx is Service pack sensitive and if you do not apply the same service pack as the one deployed on the server (in Sysdata foder) – FRx user workstation will not work (this is one of the reasons to have current backup of sysdata folder to roll back inexperienced FRx installation, which could result in unnecessary upgrade, while all the other users FRx workstations are tuned with older service pack)
3. FRx Upgrade. If you are on Dynamics GP version 8.0 and upgrading to 9.0 or 10.0 then FRx upgrade is simple – you apply the service pack required for targeted Great Plains version (so – this should be a good news for most of the Dynamics GP modern upgrade scenarios)
4. FRx Under the Hood. If you would like to automate FRx with VBA scripting (changing automatically FRX segment in Row Layout, for example to retune FRx report) – FRx metadata (catalog, typically with extension F32) is in fact Microsoft Access password protected database (even if file extension is different from MDB). And FRx building blocks are sitting in self explanatory MS Access tables (assuming that you are able to crack MS Access password). If you have control over Microsoft Access database, you can change records there with Visual Basic application (we recommend all FRx user to log off while you are changing records in FRx catalogue database)
5. FRx Recovery. We saw multiple situations when FRx user had FRx installed on the Windows XP workstation (with local Sysdata folder) and then all the sudden local hard drive was attached by the virus or simply died due to the age. Typically the solution is this – do not reformat failed hard drive – try to recover it by disinfecting (antivirus), then place it into USB Hard Drive Enclosure and try to read it from the computer (protected by reliable up to date antivirus). Try to find Sysdata folder (typically in C (now C is different, maybe F or G):Program FilesFRx SoftwareSysdata)
6. FRx for Axapta, Solomon, Navision. FRx is actually the same – the difference is in the connectors, and if you have issue with your FRx for AX, NAV, SL, feel free to call experts for the help
7. FRx and SAP Business One. As we already described in our earlier articles on SB1 and Dynamics GP, SAP B1 is good option for small subsidiary Corporate ERP in the country where Great Plains is not localized: Brazil, China, Russia, Japan, Korea, Germany, France, Spain. Consider exporting SB1 General Ledger Trial balance into Excel and then hook it up in FRx Row Format
8. FRx FAQ. Why do we need FRx – could we rather create all our reporting in Crystal? The answer is – you could, however in Crystal you would have to recreate all the FRx GL connection login in SQL Stored Procedures (FRx connector to specific accounting system: GP, AX, SL, NAV knows how to pull data from Work, Open and Historical transaction tables, deploying monthly summaries – you can go ahead and replicate these connectors in SQL Stored procedures if you company IT budget is flexible enough, but for the rest of us, who are on the tight budget – we have to stick to FRx)
9.
